Ravenhalls emphasis on offender rehabilitation and reintegration is supported by a significantly resourced team of clinicians who work in partnership with a number of Victorias most respected organisations including Forensicare YMCA and Kangan Institute. About The Opportunity
The Administration Support Officer Team Leader provides day-to-day leadership supervision and coordination of administrative support services for the teams within Rehabilitation and Reintegration. The role oversees a team of Administrative Support Officers to ensure the timely accurate and consistent delivery of program and administrative support across the service. The Administration Support Officer Team Leader is responsible for allocating and prioritising workloads monitoring service delivery and quality supporting staff performance and development and ensuring administrative processes comply with relevant policies procedures and confidentiality requirements. The role works collaboratively with managers clinicians case managers program facilitators reintegration staff and external service providers to support the effective coordination and delivery of rehabilitation intervention and reintegration programs. The position also contributes to reporting operational planning process improvement and the identification and resolution of administrative issues to support efficient and responsive service delivery.
As the Administration Support Officer Team Leader you will:
- Lead and supervise the Administrative Support team providing clear direction allocating workloads and supporting staff performance development and wellbeing.
- Coordinate and prioritise administrative services across Rehabilitation and Reintegration to ensure programs services and operational requirements are delivered efficiently and within required timeframes.
- Monitor quality accuracy and compliance of administrative processes records and information management ensuring confidentiality and relevant policies and procedures are maintained.
- Act as the key escalation point for complex administrative matters resolving issues where possible and escalating operational risks or significant matters to the Manager.
- Coordinate team resources and operational coverage including workload distribution leave coverage and responses to changing priorities to maintain continuity of service.
- Support reporting and performance monitoring by overseeing the collection and consolidation of data monitoring workloads and identifying emerging trends issues and risks.
- Build and maintain effective stakeholder relationships with managers clinicians case managers program facilitators reintegration staff and external service providers to support coordinated service delivery.
- Drive consistency and continuous improvement by reviewing administrative processes identifying efficiencies and implementing improvements to systems workflows templates and practices.
- Oversee administrative resource and procurement processes ensuring purchasing expenditure and resource allocation are managed appropriately and in accordance with relevant delegations and requirements.
- Support the Manager with operational planning and service delivery providing advice on team capacity priorities risks emerging issues and opportunities to improve administrative support.
- Promote a professional collaborative and accountable team culture ensuring staff maintain appropriate professional boundaries confidentiality and high standards of conduct.
- Undertake other duties as directed by the Manager that are consistent with the responsibilities and level of the role.
Your Skills & Experience
- Demonstrated experience managing a team including allocating and monitoring workloads setting expectations providing directions and feedback addressing performance and operational issues and supporting staff to achieve team objectives.
- Highly developed interpersonal and communication skills with the ability to communicate clearly and professionally manage sensitive or difficult conversations resolve workplace issues and build positive working relationships with staff and stakeholders.
- High level competence in the use of computer systems databases scheduling and timetabling Microsoft and other applications and an ability to learn new systems efficiently and effectively.
- Demonstrated high-level organisational and time management skills verbal and written communication including an ability to effectively minute meetings and prepare reports.
- Clear and evident professional boundaries with a commitment to maintaining the confidentiality of prisoner information.
- Ability to work in a multidisciplinary environment and provide administrative support to a range of professionals.
Desirable:
- Previous experience working in a correctional or other fast-paced environment.
- Demonstrated ability to learn information management systems.
